Position Overview:

Coordinates export shipments and documents to required destinations both domestic and international.  Coordinates expedited freight shipments.  Coordinates resolution of all shipment discrepancies and claims with carriers.  Coordinates the creation, processing, invoicing and filing of bills of lading for outbound shipments.  Also arranges for the pickup of freight. Assist receiving clerk as needed in creating, processing and closing receivers.



Major Tasks and Responsibilities:

  • Coordinates and schedules all expedited freight – LTL, truck, and non order-based small parcel – domestic and international
  • Required to insure accurate measurements and weights to get best rate quotes from various carriers
  • Communicates with various departments and sister plants
  • Manifests and sets up small parcel shipments
  • Assist in Harmonized Tariff Code classification
  • Coordinate all aspects of export documentation (ocean and air) from AES filing, container booking, loading, document and bill of lading instructions, letters of credit, commercial invoice, packing lists and final documents
  • Insures all final export documentation is sent to designated points – freight forwarders/brokers, etc.
  • Have an understanding of rules for fumigation and/or heat treated pallets,  when and where required
  • Knowledge of Global Wizard to process export documentation and knowledge of FedEx Ship Manager system to process small international air freight shipments
  • Must be familiar with commodity classification codes (Harmonized Tariffs of the U.S.)
  • Researches all customer shipment discrepancies; interacts with Customer Service, sometimes directly with customer, and with carriers to find freight
  • Records, processes and files for freight claims
  • Creates/prints necessary daily reports for the department utilizing Microsoft Office and AS400 applications
  • Responsible for printing, processing, billing and invoicing of orders
  • Serves as backup support for Receiving clerk as needed
  • Serves as backup support with daily pickups, dispatch, billing and invoicing
  • Uses PC and AS400 based applications to generate bills of lading
  • Calls/faxes/emails carriers for pick up scheduling
  • Validates all bills of lading have been signed correctly and turned back in from drivers
  • Performs other task as requested

Education and Experience:

High school diploma with at least six months experience; Familiar with and have a working knowledge of Microsoft Excel and Word; Familiar with and have a working knowledge of AS400 applications; Some college preferred.
